Travel Policies & Regulations

How a TESBookings booking works from payment to return home: what is refundable, what you must arrange yourself, and who is responsible for each part of the trip.

These are our standard policies, published so you can read them before you commit. They are not legal advice. Your booking confirmation states the supplier's own conditions for your trip, and where anything here differs from those conditions, the supplier's conditions apply to the part of the trip they operate.

Supplier charges are the amounts the airline, hotel, car company or cruise line has already taken and cannot recover. They apply on top of the percentages above.

  1. 1. Booking and contract

When you book through TESBookings you are buying travel from the supplier that operates it — the airline, hotel, car rental company or cruise line. TESBookings acts as their agent and as your booking facilitator, and is not the carrier or the accommodation provider.

A contract is formed when we send you a confirmation with the supplier's own conditions attached. Those supplier conditions, plus this page, govern the booking. Where they conflict, the supplier's published conditions prevail for the part of the trip they operate.

You must give accurate names exactly as they appear on the passport you will travel on, correct dates of birth, and working contact details. A booking made with an incorrect name may need to be reissued at your cost.

  2. 2. Prices, taxes and payment

Prices are quoted in the currency shown at search time and include the taxes, fees and carrier charges that apply on the day you book. Airport taxes, fuel surcharges, seat-selection fees, baggage fees and resort fees can change or be collected locally by the supplier.

The total you will pay is always shown before you confirm. Nothing is added afterwards without being shown to you first.

Payment is due in full at the moment of booking unless an instalment plan has been approved by one of our finance partners, in which case the plan's own terms apply and the full amount is still paid to the supplier on time.

A price held in a search result is not a confirmed price until the booking is confirmed. Airline and cruise fares can move while you are completing the form.

  3. 3. Cancellation and refunds

You may cancel at any time by writing to " + business.email + ". The date we receive that message is the cancellation date.

Supplier charges apply from the moment the booking is confirmed and are non-refundable once incurred. The table below is the standard schedule; the confirmation for your trip states the exact charges that apply to it, and those always take precedence.

Refunds, where due, are returned to the original payment method within 30 days of being calculated. If a supplier issued a credit or voucher instead of cash, we pass that through to you as issued.

If you cancel a package before departure you may be offered a place on an alternative date subject to availability and any fare difference.

  4. 4. Name changes and amendments

Changing a traveller's name, date or route is an amendment, not a cancellation, only if the supplier allows it. Many airline tickets cannot be renamed at all and must be cancelled and rebooked.

Where an amendment is possible, the supplier's charge plus a TESBookings administration fee of 25 USD per booking applies, and any increase in the travel price is payable by you.

Requests made less than 72 hours before departure cannot be guaranteed, even if we accept them for consideration.

  5. 5. Passports, visas and entry rules

You are responsible for holding valid travel documents. Your passport must be valid for at least six months beyond your return date, because that is the entry rule of many destinations.

Visa, ESTA, ETA, e-gate and health-declaration requirements are set by the country you are entering and can change with little notice. We will tell you the rule that applied when we confirmed your booking, but you must re-check it before you travel.

If you are refused entry, or are stopped from boarding because of a documentation problem, the travel is treated as not taken and no refund is due. Travel insurance with documentation cover is strongly recommended for this reason.

Minors travelling without both parents may need notarised consent letters. Check the destination's rules as well as the airline's.

  6. 6. Travel insurance

Cover is not automatic. It must be arranged for each booking, either through one of the insurers listed on this site or through your own provider.

Insurance does not remove your obligation to pay for the booking. If you must claim, the insurer decides the outcome under its own policy wording, and TESBookings will supply the documentation you need to support the claim.

Medical and evacuation cover should be at least adequate for the destinations on your itinerary, including any countries you only transit through.

  7. 7. Baggage and prohibited items

Baggage allowances are set by the operating carrier and are shown on your confirmation. Checked, cabin and sports-item allowances can differ on the same trip when more than one carrier is involved.

Hazardous items, power banks above the permitted watt-hour rating, and liquids over the cabin limit are refused at security. Lithium batteries and spare batteries must travel in the cabin.

Report damage or loss to the carrier before you leave the airport and keep the report reference; a claim made later is usually refused. Notify us as well so we can help with the paperwork.

  8. 8. Delays, cancellations and schedule changes

Where a carrier cancels or materially changes a flight, the carrier is responsible for re-routing, refund or care under the rules that apply to that flight, such as EU 261/2004 or US DOT rules for the relevant segment.

Where a hotel cannot honour a confirmed booking, we will relocate you to comparable accommodation or refund the affected nights.

We will pursue the supplier for any money you are owed, but we cannot pay compensation that only the carrier is obliged to pay.

Extraordinary circumstances — weather, strikes, air-traffic control decisions, security events, epidemics, government orders — can end a carrier's obligation to pay compensation, although care and re-routing duties usually remain.

  9. 9. Accessibility and special assistance

Wheelchair, mobility, dietary, medical-equipment and unaccompanied-minor assistance must be requested at booking and is arranged by the carrier. We pass your request to them and confirm the arrangement in writing.

Assistance requested at the airport on the day cannot be guaranteed, because the carrier needs notice to staff it.

If assistance was confirmed and was not provided, tell us with the flight details and we will raise it with the carrier on your behalf.

  10. 10. Conduct, local law and safety advice

You must follow the laws and customs of every country you visit and the conditions of carriage of every carrier. A supplier may refuse carriage or end a stay, without refund, where your conduct makes that necessary.

Government travel advice is advisory. It does not by itself create a right to a refund, although it can trigger a supplier's own flexible-booking policy.

Register your trip with your own government's traveller programme where one exists, so you can be reached in an emergency.

  11. 11. Data protection

We use your details to make and support the booking, to contact you about it, and to meet legal records requirements. Supplier and immigration authorities receive the data they are entitled to require, such as an advance passenger information record.

We do not sell your personal data. Marketing messages are sent only where you have asked for them, and every message carries an unsubscribe route.

Ask us in writing for a copy of the data we hold, or for it to be corrected or erased, subject to records we are required to keep.

  12. 12. Complaints and dispute resolution

Write to " + business.email + " with your booking reference. We acknowledge complaints within 2 working days and give a substantive reply within 15 working days.

Complaints about the travel itself must first be raised with the supplier, because their conditions govern that part of the trip and their own deadline may be shorter than ours.

If a complaint remains unresolved we will tell you, in writing, about any alternative dispute body that applies to the booking before you consider court proceedings.
